The purpose of this class is to provide complex and confidential administrative assistance in support of the day-to-day operations of a function, program, and/or department.Associate degree in general studies, education, English, business, or related major required; Bachelor's degree in a similarly related major preferred. Six (6) years' experience working as an Executive/ Senior Administrative Assistant supporting Executive Leadership is required. Experience in higher education preferred. Proficient in all Micro Soft Office Suite software. A demonstrated ability to accurately compose effective and varied correspondence such as letters, forms, professional and technical reports, and minutes in a timely manner.

  1. Maintain the orderly and efficient operation of the office of Institutional Advancement.
  2. Prepare and analyze reports, produce departmental communications, as required.
  3. Serve as point of contact for internal and external organizations.
  4. Serve as an advocate for the College and its students, as required and serves as liaison between College departments, faculty and/or staff, as required.
  5. Answer telephone and provide general information to the public.
  6. Assist supervisor with special projects and reports, as required.
  7. Produce departmental communications, as required.
  8. Assist in planning special events, such as meetings, conferences, ceremonies, gala, etc.
  9. Compose final reports and correspondence, process various office forms.

  1. Develop, manage, and track the annual performance evaluations for Continuing Education, Online Learning, Veteran & Military Services, and Enrollment Services (for both professional and classified staff of 270+).
  2. Manage and monitor Vice President's budget, manage sponsorships and annual investments.
  3. Manage communications with external organizations, government officials, and other high-level stakeholders.
  4. Develop systems to manage, coordinate and provide editorial/administrative support for significant projects involving multiple high-level stakeholders.
  5. Serve as a member of the Vice President's leadership staff, participating in meetings, advising the Vice President and staff, and representing the school at selected college meetings.
  6. Supervise and mentor office staff and classified staff as needed.
  7. Independently make decisions on Vice President's behalf in his absence.
  8. Maintain the Vice President's calendar, personnel, and office files.
  9. Handle complaints and/or issues.
  10. Process, track and monitor all paperwork for hiring, recruitment, PCN priorities, salary grades and organizational charts for the school.
  11. Manage the Senate elections for the school.
