Emerald Management & Consulting is seeking a Special Projects Administrator to plan and oversee a wide variety of construction projects, property damages and insurance claims. This role reports to the Director of Special Projects Administration and will work closely with property managers and other office staff, Board members, and homeowners. You will be working with a variety of business partners (i.e., engineers, architects, contractors, attorneys, insurance brokers and adjusters and commercial lenders) to accomplish project completion.

The successful candidate will be a self-starter with strong organizational skills, attention to detail, and demonstrate good judgment, decision-making and keep projects under budget. The position requires the ability to meet deadlines, work independently, and demonstrate the ability to multi-task and work well under pressure. In addition, construction, and insurance claim knowledge as well as experience in Condominium Association management and governing documents and standards is ideal. Candidates must be comfortable working in an essentially paperless environment that uses technology to its full advantage.

Essential Duties and Responsibilities:

  • Oversee construction projects from beginning to end.
  • Manage the budget and estimate costs; ensure deadlines are met.
  • Collaborate with contractors, engineers, architects, attorney, lenders and key team members of the project team.
  • Keep all Board members and owners aware of the progress on projects and prepare progress reports regularly.
  • Conduct site visits as required.
  • Provide professional, courteous, and responsive support to property management staff, Board members, homeowners, and vendors.
  • Assist in design, implementation, and ongoing execution of special projects practices & procedures.
  • Backup other special projects staff and assist Director of Special Projects as needed.
  • Other duties, as assigned from time to time.

  • Experience managing projects and timelines and highly organized.
  • Knowledge of construction materials and equipment
  • Proficient in Microsoft Office software; intermediate Excel skills required.
  • Excellent communication skills and interpersonal abilities, including negotiation, conflict resolution and conflict management.
  • Ability to maintain professional relationships within a team while providing high levels of customer service.
  • Ability to keep information strictly confidential.

Essential Physical Abilities:

  • Sufficient clarity of speech and hearing or other communication capabilities to discern verbal instructions and communicate effectively with others in person, via email and by telephone.
  • Sufficient visual and mental acuity to comprehend written work instructions and make determination of necessary actions required to meet the presentation standards.
  • Sufficient manual dexterity to operate standard office equipment.

Hours, Compensation & Location:

  • Full-time: Monday - Friday, 8:00am to 5:00pm; some night meetings; flexible schedule may be available.
  • Full benefit package available.
  • Position is located at the company offices in Seattle (Tukwila), WA as well as at your home office. Applicant must live in Washington, within driving distance to the corporate office or be willing to relocate to Washington. Applicant must be willing to travel for site visits within the Puget Sound area.
