Intake Coordinator I/II


Job Summary
The Intake Coordinator is the first point of contact for clients seeking career advising and counseling/life coaching services. Provides services including intake, assessment/triage, one-on-one sessions, and case management. The Intake Coordinator conducts initial assessments and brief counseling sessions with sensitivity and discretion and maintains documentation on each case.

Job Description

Typical duties may include but are not limited to:
  • Conducts all initial assessment sessions with each program participant seeking career services and recommends appropriate level of services. Provides local community referrals to program participant as appropriate.
  • Provides counseling services including assessment/triage, brief counseling, consultation and referral and case management.
  • Recommends mental health counseling services as appropriate and is well versed in available services to make accurate and appropriate recommendations.
  • Provides community referral information to program participants.
  • Creates and implements psychoeducational material, outreach programming, support groups, workshops/trainings as it relates to mental health and employment to support program participants
  • Maintains documentation in accordance with legal and ethical standards on an electronic health record system.
  • Follows up with program participants following intake session as needed. Collects and tracks participant data.
  • Works with supervisor around case assignment as needed.
  • Provides oversight of intake process and case management as needed.
  • Responds to phone calls from relevant program stakeholders and participants.

Additional Job Description

Minimum Requirements for an Intake Coordinator Level I:
  • This position requires either six years of directly related full-time experience or, as an alternative, a Master's degree from an accredited institution in an appropriate area of specialization.
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, and Outlook).
  • Current state of Florida Licensed Mental Health Counselor or Social Worker or ability to obtain within one or two years of employment in accordance with Chapter 491, F.S., or license eligible within 3 months of hire (registered status with the state).


Minimum Requirements for an Intake Coordinator Level II:
  • This position requires either nine years of directly related full-time experience or, as an alternative, a Master's degree from an accredited institution in an appropriate area of specialization and three years of full-time experience directly related to the job functions.
  • Professional, full-time experience in a Counseling Center.
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, and Outlook).
  • Current state of Florida Licensed Mental Health Counselor or Social Worker or ability to obtain within one or two years of employment in accordance with Chapter 491, F.S., or license eligible within 3 months of hire (registered status with the state).


Knowledge, Skills & Abilities:
  • Knowledge of federal, state and local laws, statues, regulations, codes, and standards related to the area of responsibility.
  • Knowledge of data collection methods and program planning and evaluation techniques.
  • Knowledge of current research, theory and best practices of counseling and therapy services.
  • Broad generalist clinical skills in assessing and intervening with a wide range of disorders and concerns utilizing a time limited model of care.
  • Excellent interpersonal, verbal and written communication skills.
  • Strong organization skills and an ability to prioritize and complete simultaneous projects within deadlines.
  • Ability to interact in a professional manner with a diverse group of staff, faculty, students, and the community in a service-oriented environment.
  • Ability to maintain confidentiality and discretion at all times.
  • Ability to analyze and solve problems, draw valid conclusions, and/or develop appropriate alternatives where applicable.
  • Ability to thrive in an organization that values the diversity of its student body and workforce and actively promotes an equitable work environment.
  • Ability to operate personal computers with proficiency and learn new applications and systems.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
  • Ability to complete required documentation on electronic health record system and quality assurance activities.
  • Ability to think critically and make clear, well-reasoned and timely decisions.

The selected candidate meeting the minimum requirements of a Level II may be hired at the Intake Coordinator II level.
