Shift: Days, hours vary, rotating holidays, occasional weekends.

Summary:

Responsibilities include various tasks involving paper, electronic and film records maintained in the Diagnostic Imaging Department. Duties include filing; copying, retrieving films from the film file libraries, monitoring exam report status, assisting technologists, radiologists, and physicians with record retrieval. Follows procedures for checking patients in and releasing patient information. Analyst is responsible for the daily electronic maintenance of report reconciliation in PACS.

Education:
 High School diploma or GED is required

Experience/Skills: 
One year of clerical experience preferred
One year of data entry experience preferred  
Experience in a radiology department preferred  
Ability to type 30 words per minute.
Ability to use computer/word processing equipment efficiently and effectively.
Ability to use basic office equipment including copiers, fax machine, and calculator.
Ability to interact courteously and effectively with physicians, co-workers, and other hospital employees.
Basic knowledge of medical terminology. (Preferred)
Basic knowledge of human anatomy. (Preferred)
Ability to handle and prioritize multiple tasks.

Modality Specific Duties:
FRONT DESK:
a. Un-key phone lines.
b. Responsible for distributing Radiologist schedule with room assignments to appropriate modalities and personnel.
c. In the morning make sure the correct radiologists name plate is on the radiologist office.
d. Process releases.
1. Releases are to be filled out correctly and completely.
2. After CD has been released, scan release into Epic.
e. Type up call board on proper form and fax to hospital operator, email Radiology Support Supervisor, give copy to file room and x-ray hub.
f. Make calls for radiologists.
g. Give negative results of procedures to physicians per radiologist.
h. Give prep instructions to patients and explain the directions to them.
i. Place order for supplies.
j. Copy orders and fax to patient scheduling when indicated.
k. Notify departments of all add-ons and STAT procedures.
l. Communicate with IS department when particular systems are down.
m. Answer radiology phone lines. Transfer calls and take messages as appropriate.
n. Check in all outpatients into Epic and log them into the log book.
o. Communicate with patients if there is a delay in service.
p. Communicate with admit desk if orders/lab is not leaked.
q. Close down desk at 6pm and key phones to the file room.

FILE ROOM:
1. Handle phone calls for:
a. Release of patient information.
b. For reports of patient procedures.
2. Fax reports.
3. Burns disc containing procedures for patients and physicians.
4. Log and mail out CDs of patient’s images.
5. Electronically reconciles patient reports in Epic.
a. Is there a report.
b. Has it been electronically signed.
c. Make sure accession numbers, procedure, patient information, date of procedure, body of report, and ordering physician are correct.
6. Process releases.a. Releases are to be filled out correctly and completely.b. After CD has been released, scan release into Epic.
7. Check PACS daily for all dictated procedures and research if not completed.
8. Process Internal Medicine patients.
a. Take to admit the orders and demographics to have patient registered.
b. Once patient is registered, attach accession number to images on burner and send to PACS.
c. Tag images in PACS and verify images.
d. Check report once in final status for accuracy.
9. Process Mary Bird Perkins patients.
a. Print out daily schedule.
b. Print out order sheet and face sheet for each patient, take to admit to register patient.
c. Print assessment sheet, pathology reports and previous comparison reports.
d. Combine assessment sheet and all reports and take to the radiologists for dictation.
e. Once dictated review report for accuracy.
f. Email report to Mary Bird Perkins with secure status.
g. Push images from Mary Bird Perkins computer to PACS and merge images.
10. Call Nuclear Medicine for any add-ons for the next day by 6pm..
11. Upload patient CD images from other facilities into PACS.
12. Notify modalities when CD images are uploaded so they can be completed.

Personnel must be able to function in all areas (Front Desk and File Room).
