ADMINISTRATIVE ASSISTANT
Randolph-Macon College invites applications for an Administrative Assistant for our Higgins Academic Center. Reporting to the Executive Director of Higgins Academic Center, the qualified candidate for this full time, 12-month position will be primarily responsible for the day-to-day operational support of the Higgins Academic Center (HAC) staff.
Essential duties: Supports the work and programming of the HAC’s professional staff and is proactive about collaborating with directors on upcoming and ongoing projects and programming. Answers telephone calls and e-mails, provides information, assists in maintaining the calendars of HAC Director. Greets and directs visitors to the HAC, responds to inquiries regarding HAC services and staff, and helps create a warm, welcoming, and professional environment in the HAC. Assists in maintaining and utilizing HAC apps and social media such as Instagram, Facebook, Canva, Acuity, Canvas, Pharos360 etc. Checks in with HAC Directors daily and assists in the preparation of various reports, surveys, and projects and helps maintain the HAC budget and oversees the payroll process. Assists with and coordinates the annual hiring process for student staff members (New Student Transition Captains, Tutors, and Mentors) and helps provide oversight of student staff. Assists in scheduling meetings for the HAC directors (as requested) and with scheduling and coordinating student staff schedules and HAC/director events on campus. Assists the HAC Directors to prepare requisitions and reimbursement forms, and to track invoices and purchase orders. Is available to support occasional evening and weekend events and programming. Other duties and/or projects as assigned by the Executive Director of the Higgins Academic Center, or as periodically requested by one of the other HAC Directors.
Qualifications: High school diploma plus one to two years related work experience required. Preference given to candidates with non-profit/higher education experience. College degree a plus. Candidate should possess strong interpersonal and organizational skills, ability to meet deadlines, and proficiency with Microsoft Office Suite. Knowledge of event planning/management and working with vendors/vendor contracts preferred. Individual should possess a high energy level, initiative, and an appreciation for the purpose and values of a traditional residential college.
