Job Summary

In support of Academic Support Services, the Academic Support Specialist assists with office workflow and technical procedures for academic support services including transfer equivalence tables, degree audits, institution research, master calendaring, prior learning assessment, office web page, course section development and maintenance, and/or other office assignments.

Primary Duties and Responsibilities

Essential Performance Requirements*
  • Provides leadership in work processing and service orientation
  • Provides high-level technical skills to troubleshoot the updating and maintenance of data tables for transfer equivalence, master calendar, academic calendar, course sectioning, degree audit, and other academic applications
  • Assists with the development, maintenance, and regular auditing of various academic tables, such as curriculum tracks, courses, transfer equivalencies, and institution research, in the student information system
  • Troubleshoots transfer equivalence course section problems, space allocation, and anomalies
  • Provides oversight for the development of the scheduled classes for each term
  • Assists in the development of procedures for the section order form, space allocation, exception to degree audits, and prior learning assessment
  • Assists with staff development and training
  • Provides district support for exception to degree audits, institution research, transfer equivalencies, courses, sections, space allocation, prior learning assessment, and term sessions
  • Assists with campus and community projects
Service Excellence
  • Participates on behalf of the College in external community organizations and associations as assigned to support the essential performance requirements
  • Attends the workplace regularly, reports to work punctually, and follows a work schedule to keep up with the demands of the worksite
  • Completes all required training and professional development sessions sponsored through Tarrant County College (TCC)
  • Supports the mission, values, goals, and principles of the College
*Performs Other Related Tasks as Required

Required Minimum Qualifications
  • Associate's degree or 60 college hours and two (2) years' working experience related to the Essential Performance Requirements, or any equivalent combination of education, training, certification, or related experience
Preferred Qualifications
  • Microsoft Excel Specialist: Microsoft Excel Associate or Microsoft Excel Specialist: Microsoft Excel Expert certification
  • At least one (1) year's working experience with room reservation or scheduling software systems such as Ad Astra
  • At least one (1) year's working experience managing student information in an Enterprise Resource Planning system such as Colleague
  • At least one (1) year's working experience developing and leading training
  • At least one (1) year's working experience with section building and maintenance for credit and non-credit courses
Knowledge, Skills and Abilities
  • Knowledge of higher education standards and policies regarding course transfer, degree audit, and accreditation
  • Skilled in excellent customer service and interpersonal relationships with diverse populations, including strong listening, verbal, and written communication
  • Skilled using applications and enterprise systems, including word processing, spreadsheet, and presentation software such as Microsoft Excel, Word, Outlook, and PowerPoint
  • Ability to think critically to effectively solve and communicate problems in a fast-paced environment where the demands for work are varied, and unpredictable in scope and volume
  • Ability to work effectively in a collaborative environment
  • Ability to analyze data and provide sound recommendations based on policy, procedure, practice, and existing regulations
  • Ability to delegate work appropriately to faculty and staff to meet College and campus deliverables

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work Environment

The work environment characteristics described here are representatives of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee occasionally works near moving mechanical parts and is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually quiet.
