Executive Assistant

Richmond, VA

 

The Virginia Economic Development Partnership (VEDP) is seeking an Executive Assistant to provide complex, strategic executive-level shared support to the Research division. This position will support the division Vice President with day-to-day operations, play an important role in financial management, organize office operations, and have the ability to thrive in a fast-paced, high-demand environment.

 

Responsibilities:

  • Assist Vice President with division operations by:
    • managing calendar
    • making agendas, taking notes and drafting meeting minutes
    • managing logistics for meetings
    • handling email correspondence
    • assisting with preparing and maintaining documentation
  • Assist with management of division budget, including the preparation of the annual budget and tracking expenses
  • Support procurement of complex contracts and process vendor payments
  • Assist with travel arrangements and process expense reports for division staff
  • Ensure compliance with agency policies and procedures
  • Coordinate staff onboarding by scheduling training meetings and ensuring staff have appropriate materials and equipment
  • Serve as office manager to the division: ordering office supplies, troubleshooting facilities issues, organizing off-site meetings, etc.

  • Familiarity with budgets and procurement
  • Exceptional grammar, punctuation, and proofreading skills
  • Ability to maintain strict confidentiality and professionalism
  • Demonstrated ability to adapt to new technology and acquire new skills
  • Knowledge of the public service sector and state and local government preferred

 

Experience:

  • Extensive administrative experience in an executive environment
  • Experience using Microsoft Office suite
