EXECUTIVE ASSISTANT

The Virginia Economic Development Partnership (VEDP) is seeking an Executive Assistant to provide administrative, technical, and programmatic support to the Senior Vice President of Policy and Strategic Partnerships and the Vice President of External Affairs. The successful candidate will have significant experience working in a collaborative, high-volume, fast-paced environment that requires strong attention to detail with minimal supervision. This person must be able to prioritize and effectively manage multiple projects, communicate effectively, work well under pressure to meet deadlines, exhibit sound judgment in making decisions, and maintain confidentiality on sensitive matters.
Responsibilities:
- Maintain the SVP’s daily Outlook calendar ensuring correct and relevant details are included in appointments
- Solicit and review meeting requests, prioritize appointments and schedule meetings with internal and external partners for the SVP and External Affairs Division
- Regularly review scheduled meetings, re-evaluate priorities and modify previously scheduled appointments
- Track deadlines via email and deliver timely reminders to SVP concerning deadlines, meetings and other commitments,
- Manage information flow between SVP and External Affairs Division, as well as VEDP’s CEO and senior staff
- Communicate with Governor’s Office staff, elected officials, board members, and other partners
- Arrange detailed travel plans for conferences and speaking engagements
- Prioritize multiple requests and hold responsibility for successful follow-through
- Provide fiscal administrative support by preparing/processing travel and other expense authorizations and reimbursements, and registrations and accommodations for the SVP and External Affairs Division
- Provide meeting support including material preparation and meeting room set up
- Draft and edit correspondence
Education & Experience:
- High school, supplemented by course work in business administration
- Bachelor’s degree preferred
- At least 3 years of experience providing executive level support
Desired experience, knowledge, and expertise:
- Extensive administrative support experience in an executive environment
- Experience with MS Outlook, Word, Excel, and PowerPoint software required
- Exceptional English grammar, punctuation, and proofreading skills
- Strong organizational skills
- Demonstrated ability to plan, develop, and implement projects; negotiate and resolve problems; and formulate and communicate recommendations
- Demonstrated ability to effectively communicate frequently with state and local officials, private sector, and other outside contacts on a variety of issues
- Knowledge of the economic development process a plus
- Knowledge of the legislative process a plus
