POSITION: A full-time university staff position is available in Teacher Education beginning July 1, 2024, or as soon as possible. The working title for this assignment is Field Placement Assistant with an official title of Administrative Assistant III. This is an expected-to continue assignment which requires a six-month probationary period. The expected hourly hiring salary will be based on qualifications and experience. Must be a current UW- Eau Claire employee.

MINIMUM QUALIFICATIONS: Excellent organization, communication, and customer service skills; ability to create a warm and welcoming environment for students, faculty and partners; strong interpersonal and collaboration skills to interact effectively with administrators, faculty, staff, students, visitors, and community partners; demonstrated verbal and written communication abilities; knowledge of or desire to learn Qualtrics, BP Logix, CampS, WISER and other commonly-used university applications; advanced knowledge of Microsoft Office (Word, Excel, Outlook) to organize meetings, communicate effectively, generate a variety of documents, and maintain records; ability to learn the Teacher Education Program database; ability to learn new systems, software, and processes quickly; ability to conduct tasks professionally and confidentially; ability to multi-task and work efficiently and effectively; ability to supervise and train student workers; ability to be flexible and work collaboratively as part of a team serving all of the Teacher Education programs including Department Chairs, the Coordinator of the Teacher Education Program, the Certification Officer, and the Field Placement Coordinator; ability to work independently on tasks with minimal supervision; and commitment to equity, diversity, and inclusivity.

PREFERRED QUALIFICATIONS: Bachelor's degree, knowledge of UW-System processes; demonstrated commitment to support and enhance the diversity and cultural and global awareness of students, faculty, and staff.

DUTIES:
  • Develop, implement and maintain, in collaboration with others in Teacher Education, the comprehensive data management system for Teacher Education.
  • Manage, in collaboration with others in Teacher Education, the database including data entry, document generation, and reports.
  • Develop and prepare materials, forms, lists and tools to assist with making field placements in collaboration with others in Teacher Education.
  • Manage, enroll, and troubleshoot the required supervision training for cooperating teachers in coordination with the Field Placement Coordinator
  • Collect, organize, and communicate data for any required reporting purposes.
  • Maintain and renew affiliation agreements with schools, districts, and institutions.
  • Develop and maintain the Teacher Education master schedule.
  • Process, track, and communicate all travel and travel expense reports.
  • Manage, maintain records, and provide reports related to the budget.
  • Assist with communications to schools, cooperating teachers, principals, and other community partners.
  • Assist Field Experience Coordinator in making placements.
  • Serve as point of contact for information for students, faculty, staff, and school partners regarding Teacher Education.
  • Prepare and distribute any needed mailings, either physical or electronic.
  • Prepare and distribute necessary forms and materials.
  • Organize events and communications for Teacher Education.
  • Assist all Teacher Education stakeholders with communication needs including collaborations, field placements, teacher availability and critical needs areas.
  • Supervise and train student workers and graduate assistants.
  • Manage, maintain records, and communicate to students and the grant coordinator regarding the Rural School Teacher Talent Grant (Rural Stipend).
  • Other duties as assigned.
THE UNIT: Teacher Education is the overarching entity for all programs and processes related to majors and programs for students pursuing a career in education. The office which is responsible for placements, licensing, and accreditation consists of five people who arrange placements for all students pursuing a career in education, works with the Department of Public Instruction to maintain accreditation of our education programs, communicates extensively with school partners and endorses candidates for teaching licensure.
