Job Description Summary
This position develops and coordinates all course-related schedules for Legal Studies and Business Ethics faculty and students, managing all aspects of the course offerings and application of University and school policy regarding curriculum and academic affairs. This position coordinates the department's doctoral program, including its admissions process. Coordinates all seminar and conference activity in the department. Supports all website activity within the department. Provides administrative support to faculty.
Job Description
In coordination with the Business Administrator (BA) this position will:
- Initiate the faculty course selection process and develop the annual teaching schedule; review and communicate final teaching assignments to faculty; enter final schedule into Student Record System (SRS); and assist Chair and BA in determining need for lecturers, adjuncts and visitors.
- Serve as staff coordinator for department doctoral program. Responsible for administration of program working closing with faculty director. Assist with planning meetings and events, serve as primary contact for students and doctoral office. Manage admissions and placement activities for the program in conjunction with faculty committee.
- Coordinate seminar programs, symposia, and other department conferences and activities; generate flyers, distribute papers, post schedules and papers via website, send out notifications and invites, arrange catering, travel reimbursements, scheduling.
- Manage department websites, create and update pages, recommend and implement changes.
- Support department faculty administratively as needed including coordinate exams, book orders, course materials and serve as support for faculty course related questions and issues.
- Serve as liaison between department and UG, MBA, PhD, WEMBA, and the University Registrar's Office for all academic matters and inquiries, including but not limited to enrollments, online grading, editing of communications such as the UG guide, MBA Resource Guide, PhD Guide, faculty load reports, Penn in Touch, and communications updates within SRS. Advise students regarding course selection, policy, procedure.
- Provide support to the Undergrad and MBA advisors within the department.
- Maintain records relating to course evaluations, enrollments, course inventory, new course offerings. Access data warehouse to develop and run reports, present data as requested. Primary point person for all SRS requests related to courses, students, and faculty (permits, trouble shooting).
Qualifications
- High school diploma or GED required, BA/BS preferred with 3-5 years of related experience or equivalent combination of education and experience.
- Experience within a College or University setting preferred.
- This role requires excellent organizational and interpersonal skills and the ability to interact effectively with faculty. Discretion is required when working with confidential or sensitive matters. The successful candidate will possess sound judgement, be highly organized and show initiative.
- Demonstrated intermediate to advanced level PC skills including all facets of Microsoft Office (Word, Excel, PowerPoint, and Outlook) needed. Website management skills desired. Knowledge of University policies and procedures desired.
