JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 2 provides administrative support to the residents in the Department of Medicine which includes internal medicine residents, transitional year residents, and neurology residents.

DUTIES AND RESPONSIBILITIES:

  1. Assists in the development of evaluations for use by residents, faculty, and nursing staff.
  2. Assists with curriculum descriptions and updates into MedHub.
  3. Coordinates communication between departments, and divisions regarding resident recruitment, orientation, annual program Affiliation Agreements, and external rotations.
  4. Schedules applicant interviews, makes gift bags for applicants, escorts applicants to scheduled interviewers.
  5. Assists in preparation for CLER/ACGME site visits and internal reviews by providing any information requested and scheduling appropriate resident and faculty representation.
  6. Arranges meetings and conferences, schedules interviews and appointments, and performs other duties related to maintaining one or more individual schedules.
  7. Orders, stocks, and distributes office supplies.
  8. Proctors yearly In-Training Exam in Internal Medicine including registration, setup/reserve computer lab, and notification of affected rotations during the test.
  9. Troubleshoots issues, communicates with hospital representatives, residents, and representatives regarding issues being experienced, and monitors issues to ensure appropriate and timely resolution.
  10. Schedules medicine rotations and ambulatory medicine rotations.
  11. Performs other related duties as assigned.

Qualifications :

MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Two (2) years of work experience in a medical office.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Strong organizational and customer service skills.
  • Ability to maintain keen attention to details.
  • Ability and willingness to learn new skills.
  • Knowledge of and skilled in the use of Microsoft Word, Excel, and PowerPoint.
WORK SCHEDULE: This position may occasionally be required to work evenings and weekends.
