Position Summary:
Reporting to the Chair and Department Administrator, the Executive Assistant supports the Department Chair of Pharmacology and Toxicology and provides general operations support, including: calendaring, departmental correspondence, travel, special event planning, faculty recruitment visits, tenure and promotion, and general support to the department's faculty and staff as needed.
Duties and Responsibilities:
The incumbent for this position:
Manages the Department Chair's complex schedule; prioritizes multiple issues and holds responsibility for successful follow-through; composes correspondence including departmental announcements; develops, reviews and edits presentations and documentation; independently researches and analyzes associated issues and/or compiles materials needed for presentation and/or decision making purposes; maintains multiple departmental listservs; serves as the liaison to various internal and external constituencies, including screening correspondence and telephone calls and working closely with Pharmacology and School of Medicine administration; keeps the Chair informed of all matters requiring his/her attention; manages chair and external visitor travel, including registrations, bookings, and catering in compliance with department, university, and sponsor policies; coordinates special event planning and faculty recruitment visits including itinerary development, scheduling, and logistics; assists with preparation of materials and coordination for tenure and promotion.
Essential Qualifications:
Two plus years of progressively responsible experience as an administrative assistant in a professional office; Proficient in PC software applications, including Excel, Word, and PowerPoint with the ability to quickly learn and understand proprietary university systems and processes; Strong organization skills with a proactive approach and attention to detail; Ability to prioritize workload and the ability to juggle multiple demands/tasks; Excellent written and oral communication skills. A helpful, friendly demeanor, professionally representing the department to all callers, visitors, and employees; Ability to maintain confidentiality with access to sensitive information and correspondence.
Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as an employee at VCU.
Preferred Qualifications:
Bachelor's degree preferred.
Experience supporting senior-level faculty or staff in higher education or research institute preferred.
