Position Summary
Shift Retail Lab at VCU is looking to hire an Office Manager to act as the primary administrative coordinator, providing a full range of support from day-to-day operations to programs and events. The Office Manager at Shift Retail Lab is an exciting opportunity for someone that enjoys working as a strong team player and managing multiple projects at a time. This position will help in the day-to-day functions of Shift Retail Lab which regularly hosts programs, workshops, events, and other real world opportunities for students. They will assist with event logistics, such as support for students/community partners/guests and visitors, general office functions, event planning, and other tasks as needed. The ideal candidate will be organized, and have basic knowledge of hospitality and event planning.
The Office Manager at Shift Retail Lab will be responsible for overseeing timeline estimates, deadlines, and reports according to project process methodology. They may be required to possess knowledge of federal, state, and university compliance mandates, policies, and practices. The role may have direct and indirect reports. They typically serve as liaisons between internal departments or functional areas in order to achieve operational goals and serve as a resource to lower-level staff.
The Office Manager will report to the Director of Innovation and Design and may be responsible for managing student workers.
Duties & Responsibilities
· Representing Shift Retail Lab and the da Vinci Center by providing excellent customer service, acting as the first point of contact, ensuring effective operations.
· Reception and storage of office supplies and breakroom supplies/inventories.
· Coordinating space management of all Shift Retail Lab rooms, including but not limited to: course scheduling, external guests use, and other special events and programs.
· Providing event/program support both leading up to the events/programs,as well as day of logistics (events and programs include speaker series, workshops, and recruitment events).
· General office support and set-up of all Shift Retail Lab spaces including classroom spaces, co-working space, maker space, and workshop - be able to help with technical issues.
· Office duties such as creation of name tags, photocopies, creation of spreadsheets, inventory, etc.
· Special projects as assigned by the Director of Innovation and Design.
· Responsible for organizing and managing every aspect of various events.
· Coordinate office staff activities to ensure maximum efficiency.
· Act as point of contact on each event, be present for the set up and break down, coordinate with visitors, to finalize all details before the event.
· Implement procedural and policy changes to improve operational efficiency.
· Coordinate schedules, appointments and bookings for Shift and put in place a system of tracking.
· Other duties as assigned.
Minimum Qualifications
· Demonstrate excellent communication and customer service skills.
· Availability outside of a 9AM-5PM schedule including occasional weekends to offer assistance at events.
· Knowledgeable of basic computer softwares, including Google Drive.
· Must be detail oriented with strong organizational skills.
· Must demonstrate the ability to work responsibly as a team member as well as an individual.
· Demonstrated experience fostering a diverse and inclusive environment and an expressed commitment to do so while at VCU.
· Possess an upbeat, positive attitude and value punctuality and reliability.
· Ability to move furniture (25lb) to set up conference rooms.
Preferred Qualifications
· 2+ years administrative support experience.
· Experience at a higher education institution.
· Training and experience with P-Cards, eVA, RealSource, Banner, and/or RealTime.
· Experience managing student workers.
