Administrative & Fiscal Supervisor (Chemistry)
William & Mary's Chemistry Department seeks an experienced professional for the position of Administrative & Fiscal Supervisor whose efforts will support approximately twenty full-time, affiliated, or visiting faculty members in addition to 6 emeritus research faculty members, 10 graduate students, 40+ undergraduate teaching assistants and 60+ undergraduate summer research assistants. Under the supervision of the department chair, primary responsibilities include supervision of administrative personnel and oversight of daily administrative and fiscal operations in support of the chair, faculty, laboratories and office to include the following:
- Managing the department’s indexes by verifying accounting entries, balancing monthly expenditures against the budget, maintaining budget tracking spreadsheets, and assisting in budget planning by providing financial analysis of resources to the department chair.
- Conducting grant accounting and providing pre- and post-award assistance in budget and cost projections; coordinating with the Office of Sponsored Programs to ensure that grant funds are expended appropriately, in compliance with federal and state guidelines. Provide administrative management for 22 active grants totaling $3.5M, 25 gift funds and various faculty and student funds.
- Liaising with multiple units on campus to facilitate processing of transactions and procurement of equipment and services; responsible for processing purchase requisitions through buyW&M and SPCC of $1M annually.
- Receive, validate contents, collect and update chemical inventory data and deliver scientific materials and equipment to individual faculty members and departmental laboratories.
- Managing the department’s chemical inventory for 40 labs and storage rooms in the Integrated Science Center.
- Hiring 40+ undergraduate teaching assistants each year, hiring or processing award paperwork for 60+ undergraduate summer research assistants.
